Greetings from the Pennsic 52 Land Staff – 2025!

We have put last year's Pennsic to bed and have begun our back-end cleanup process in preparation for the next year.

We've got several changes and improvements coming for Pennsic 52. Many of these are "under the hood" - not really items you'll directly see, but nonetheless, they should help us streamline our processes and make the whole group registration and land grab process go more smoothly.

Changes For PW52

Block History Maps

As some may recall, last year (and going forward) we changed the map approvals process to where we no longer require (or even allow) Land agent name / signature directly on your approved block maps.

This let us make "cleaner" maps for use by EMS and other departments, but also as a side benefit, finally allows us to something we have wanted to be able to do for a long time:

Pages for Block Maps will now have links to past maps (starting with PW51 and going forward)

To use this feature, you go to the map page and then from the dropdowns, select the block of interest.

For this example we'll use Block N06

When you view that page, on the right side, there's a table giving past land use.

Blocks that have available historic maps will have a link on the far right of each year for which there is history. The link will say Map of Camps. When you click that, it will show you the year's official final map of camps.

(Editor's note: this map was chosen as it was an excellent example of a block that followed all the guidelines and produced a very legible and useable map)

Land Agent Check In

Note that ALL land agents or their designated proxy must check in at the Great Hall during Land Grab on Friday, July 25, before we close at 9pm.

This includes land agents for PMAP approved blocks and for X blocks.

If your group fails to check in by close of Land office on Land Grab day, you may be subject to sanctions. If you can not be present for Land grab, then you need to either set a new land agent for your group who can perform the needed duties or set a Proxy who agrees to be responsible for them. Updated Terminology

As part of a Pennsic-wide effort to provide clarity and avoid "jargon" in official terminology, the term "Troll" as in "Trolling in", or referencing to "go to Troll" or "The Troll Tent" will be changed to remove the use of the word "Troll". There is no requirement that anyone personally stop using the terms but you will see that official documents and notices will replace the terms regarding "Troll" with "Registration"

Likewise, we will be removing references to "mundane name" in preference for the term "modern name" or "legal name".

We will be updating maps and documentation in all land related sites and services to reflect these changes. For clarity here are a couple of important terms:

B06 and B07 Closed / Retired

Due to upcoming changes from Coopers Lake Campground and in consultation with senior Pennsic staff, Land Blocks B06 and B07 are being closed/removed from Pennsic as of Pennsic War 52 (and going forward–this is a permanent change).

The Mayor and Land office have worked with the Kingdom Of Caid to find them a new location. They will be moving to block N30. Other groups who have either B06 or B07 for any of their first through fourth choices will find those choices unset and will need to choose new blocks.

Land agents in affected groups should plan to log on to the land web site and make your adjustments/choices starting January 1, 2025 at 00:01 EST.

Just to recap: B06 and B07 will not be available as choices, so any group that had B06 or B07 as any of their 4 choices will not be properly completed until all four of your block choices are valid. You will not be able to log in and set up your group until 00:00:01 (1 second after new Year Jan 1, 2025), so please wait until then to try.

Registration (Formerly known as Troll)

New Flow

Big changes this year as mentioned above: The location where you go to register (formerly called Trolling in) is no longer a tent just inside the main gate off Curie Road.

There is a brand new registration area which will be located on the SouthEast corner of the battlefield (where the EMS Helipad used to be (don't worry that's being relocated not removed)). This will mean that you will be registering / receiving your site medallion before even leaving the battlefield.

The parking and traffic flow will be significantly different... that is outside the purview of the land office and will be communicated separately by Pennsic Event Services and Event Safety staff and management. keep an eye out for those communications.

Arrival / Registration Times

We will be continuing the process where On site Registration (formerly known as Troll) will open for Land Agents (or Proxy) and up to one Adult assistant along with any minors for whom they are responsible who are traveling in the same vehicle to troll in starting at 9am.

All others (including merchants) must wait to begin registration starting at 12 noon.

NOTE for Kingdom, X block and PMAP groups

Land agents (or proxies) for Kingdom groups, X Blocks and Land agents for PMAP Groups will also be able to register starting at 9:00am and will NOT need to wait till 12:00 noon. (Note non-land agents on these blocks must still wait till noon - this is about land agent / proxy only.)

Online Map Approval Tools for non PMAP Approved Blocks

The system to allow PMAP approved blocks to upload and collaborate / vote on their map has been so successful that he land office has determined that even blocks that are not PMAP approved may appreciate the tool for uploading/sharing a proposed map and voting on it. This year we will be opening up the PMAP tools for all blocks - whether PMAP approved or not - to use. non-PMAP approved blocks will still need to check in at Land grab and complete the on site map approval process (though if they have a map they've posted on the PMAP tool they will be able to use ask the map approval team to use that map) or may proceed normally - this is an option not a requirement.

Land Office Location

During land grab, and land grab weekend the land office is at the Great Hall. However, unlike past years where we had a singles Liaison desk at the Watch tent, Land now has their own separate office (a tent) located along Chandler Road across from the Great hall.

We will have singles Liaison office hours in this location.

Singles Camping Assistance

Singles campers who are in need of a bit of guidance/assistance in locating / selecting a spot are welcome to visit our Singles Liaison desk located at the Land Office tent after trolling in. This desk is staffed during the following times:

If there is higher singles traffic than expected, we may extend hours/days as needed, but the above represents the current schedule.

During times when the desk is not staffed, there are self-service materials (maps), and Singles campers may also ask at the Watch desk to have the Singles Liaison called on the radio. Please note that singles campers who arrive after 6pm will not be allowed to set up on singles land that is South of Dragon Trace. This is due to a nighttime driving restriction. If you wish to camp singles at Pennsic 52 and wish to camp South of Dragon Trace, please plan to arrive no later than 6pm.

NOTE: No singles campers may arrive / Troll in before Sunday, July 27 at 8:00 AM. This is necessary because singles space is not fixed, but is calculated from space remaining after land grab has settled and it takes a day after land grab to review the 108 land blocks and assemble the list/map for singles camping.

Any singles camper attempting to troll in before this time will be turned away and asked to return on Sunday July 27 or later.

Car Passes

With the changes to registration, the car passes for driving on site before the completion of land grab will return to each group receiving 5 car passes once their block has been settled. Since nobody can drive on site without a medallion and only land agents (and their single designated adult assistant and associated minors) are the only ones who can get their medallion before noon, we don't need the added confusion of different types of car passes

You'll still need your car mirror tag, medallions for each person who is in the vehicle, and if land grab has not ended, a special land grab one time use entry pass.

General Announcements

Map Requests

Continuing from last year, all requests for updates to block maps (request changes, updated surveys etc) should be emailed to the official maps address

This email address can be used to communicate concerns or make requests regarding adjustments to block maps. Please note that land staff does not have year round access to Coopers Lake Campground, and as such we have limited opportunities to get "boots on the ground" to verify measurements and perform other on site and survey activities. Our best, most consistent window of access is during Aethelmearc War Practice (May 15, 2025 - May 18, 2025). Please send any map change requests desired for Pennsic 52 by May 1, 2025.

Pre-Registration

Paid Pre registration (the kind that groups receive land allocation for) for Pennsic 52 will start Monday, January 6 2025 at 10:00am EST and will run until 11:59pm EDT, Sunday June 15 2025.

Land Allocation Notices

For the last two years, the land office has been sending out an initial land allocation notice and given a period (between 5 and 7 days depending on when the initial allocation went out) to request any changes to their block assignment before we consider the allocations truly final.

This has been very successful as while there are not many such groups, every year we will have one or two groups that realize their selections were not what they thought, or if they were moved to second third or fourth choice they wish reach out and ask for other options. By baking in this period of time (we're sorry it cant be longer but there are just too many other moving parts) it helps make groups are happy as they can realistically be made when they don't get the exact block they were hoping for.

Notices of initial allocations will be sent out, and will indicate that land agents wishing to ask for reconsideration / raise concerns / ask questions should reach out to DMLand@pennsicwar.org immediately. The notice will provide the deadline for such requests, but it will likely be no more than a week (necessary to minimize inconvenience to other land agents/blocks and land staff and avoid confusion and delays). Complete information will be provided at the time of the allocation notice.

Updated Camping Authorization Form

There is an updated Camping auth form on the Land Site for PW52. It is your responsibility to print and fill this out and bring it to land grab.

Also, this year's camping auth form is now an "fillable" pdf form, meaning if you choose, you can open it in your PDF Reader of choice and fill it out electronically - making it VERY legible (hint, hint).

It will have space for up to 4 camps info on one page. You do not need to fill out the 4 copies if you're pre filling/printing it out for your camp, just the one will do. If you've done this and then show up to Pennsic to find that your block mates have forgotten theirs, you will have three handy blanks.

RV Camping Reservations

Registration for and management of RV camping spots is entirely under the direct control of Coopers Lake Campground. The Land department does not have any access to or say over the RV spots.
